Office Manager

Full-time or part-time, Vancouver

Gravity Union is looking for an organized, ambitious, and detail-oriented Office Manager to assist our team. This is a full-time (40 hours/week) permanent position, onsite at our downtown Vancouver office. The expected salary is between $50,000 - $60,000 with flexibility based on experience and skillset.

About the opportunity

At Gravity Union, the Office Manager is responsible for ensuring the efficient operation of the office environment and culture. This role involves overseeing daily administrative functions, managing office resources, and fostering a positive workplace culture in a fast-paced environment.  The candidate must be highly capable of handling multiple tasks, working independently, and performing tasks in a timely manner. The successful candidate will have a strong technical background and enjoy assuming responsibility for multiple projects at one time.

Your day-to-day includes:

  • Oversee day-to-day office operations and ensure a smooth and efficient work environment

  • Provide administrative support to the CEO, Vice President, People & Culture, Finance, Marketing, and other team members as necessary

  • Support with coordinating People & Culture activities, events, and initiatives

  • Serve as a liaison for team members and clients related to office maintenance and facilities

  • Data entry and management of various tracking software and spreadsheets

  • Assist in the proposal process as required, working with the Sales team

  • Assist in the preparation and submission of expenses for the CEO

  • Support the team with relevant internal communications

  • Coordinate meetings, social events, travel arrangements, and organize required materials

  • Coordinate weekly in-office lunches

  • Some project coordination duties as required

  • Ensure kitchen is fully stocked with beverages and snacks

  • Answer phone, welcome guests, check mail, deposit cheques, ensure office is tidy, and take care of the office fish Paul

  • Other office management duties as required

Are you the one?

  • College diploma and a minimum of two years of administrative experience

  • You are a people-person and enjoy connecting with others

  • You’re a self-starter and love learning

  • You have strong communication and interpersonal skills

  • Advanced computer skills with Microsoft Office products including Outlook, Excel, PowerPoint, and Word

  • You are resourceful and don’t stress out easily

  • You’re adaptable and go with the flow when things change

  • You have good judgment and analytical skills with a focus on attention to detail

  • Interest in technology, or what technology can do for people

  • You know how to have fun!

Icing on the cake

  • Working experience in a technical consulting environment is a plus

  • MS-900: Fundamentals certificate or other Microsoft certifications
